Hiring Information

Function Room:

In 2021 During the second Lockdown we completely refurbished the Function room.

The room is now a bright airy space perfect for a variety of occasions.

The room itself can be rearranged in a few ways, if you wish to keep all the tables and chairs, it can comfortably seat 40 people, if you wish to remove them all, keeping space for a dance floor you can get up to 80 standing. If you wish you can also have a mixture of the two to suit your needs.

Decorations:

You can decorate the room as you wish, we just ask that nothing is stuck to our newly painted walls, however please feel free to pin things into the wood cladding.

We also request that you refrain from using confetti on tables, and using party poppers as they stain the wooden tables and floors once wet. 

We have contact details for various companies that supply decorations if you so wish.

There is also a 75” TV which can be used to play a slide show of photos (jpg format) please provide these on a USB stick.

Food:

The main question we’re asked is “Can I bring my own Cake?” The Answer is, Yes! Of course you can provide your own cake, also we are more than happy to put you in touch with some fantastic local Cake Makers.

In terms of food, we offer a few buffet options, prices are based on minimum booking sizes.

If your booking is on Sunday, Monday, Tuesday, Wednesday or Thursday the minimum size buffet is based on 15 people.

If your booking is on a Friday, Saturday the minimum size buffet is based on 25 people.

If you require higher numbers we can increase in groups of 5, prices are added per person on top of the minimum buffet price.

Due to Health and Safety, once food has been presented at the agreed upon time, we will leave the buffet in place for a maximum of 3 hours. Any leftovers can be packed to takeaway.

Cold Finger Food Buffet:

Selection of sandwiches - Mini Pork pies - Mini Scotch eggs – Chipolatas - Tortilla chips and dips – Quiche - Sausage rolls - Carrot batons - Cherry tomatoes

Price: Sun - Thurs Min Spend £195 (15 people), Fri & Sat Min Spend £325 (25 people) That’s £13.00 per person

Hot Finger Food Buffet:

Everything in the Cold Finger Food Buffet plus; Chicken Strips - Duck Spring Rolls - Veg Spring Rolls - Tempura Prawns - Mini Samosas - Onion Bhajis - Potato Wedges

Price: Sun - Thurs Min Spend £270 (15 people), Fri & Sat Min Spend £450 (25 people) That’s £18.00 per person

Self Serve Chilli:

We can also do a large self serve Chilli con Carne, with Jacket Potatoes, we will also provide baked beans for any members of your party that maybe vegetarian or vegan. Other sides include butter, grated cheese and vegan cheese if required.

Alternatively, we also have external caterers on site throughout the week, we could also put you in touch with them regarding a different food option.

Please ask a member of staff as to which caterer is around on the date requested.

We do not allow any other caterers to provide food.

Drinks

All drinks consumed on our premises are to be bought here.

We can provide you with a self serve Hot Drinks option for £20. This includes a hot water urn with individually wrapped tea bags and coffee sachets.


Music

The Function Room has a fantastic sound system perfect for any function. You are more than welcome to create a playlist on Spotify and we can play this throughout your night. Use of a Microphone can also be arranged if required.

The Windsor Trooper has 9 Hotel Rooms so the maximum volume has been set. However you can adjust the volume of your music via the iPad we provide if you need to turn it down in general or for speeches.

We do allow you to hire a small band or singer in the Function Room on Friday’s and Saturdays until the cut off time of 10pm, this is the same finishing time as when we The Trooper hosts live music on Thursdays as well as the time we close the large beer garden. This is to reduce noise for our hotel guests and neighbours. After this time all music must be played through our sound system.

We no longer allow any functions through the rest of the week to have live Music later than 7pm Sunday - Wednesday, this is to keep in line with noise restrictions in our area.

You will be required to ask all live musicians to perform their encore before the cut off time and to be finished by 10pm, The responsibility of the music volume for your function lies with you.

We do not allow DJ’s to perform at this venue.

If you are booking the Pergola Area in the garden only we do not allow anyone to hire a musician/band as the rest of the garden will still be open to the public.

Prices & Terms

Once a date has been pencilled in you will have 2 weeks to pay the deposit to secure the booking, after that time the date will become free for some one else to book.

The Function room can be hired for an initial fee of £100 - This is to hire the majority of the room but still allow other patrons to access the garden at the top of the Function Room.

The have exclusive use of the entire Function Room the fee is £200 - This will mean closing the doors of the Function Room to the public, Opening the Garden Bar and making other patrons use the driveway to access the garden.

The Pergola or Decking Area of the Garden can be hired until 10pm, the fee is £50 - This area will be exclusive to your guests.

If you wish to have the Dog House Bar open on the day of your event, (If not already due to be open) that would be an extra £75. Unless you have paid the £200 Function Room fee as the Garden Bar will already be included.


Hiring of the Function Room and the entire Garden may be considered but prices are dependent on which day and the time of year. In the Summer the Beer Garden is extremely popular so any hiring prices and timings may be affected on the dates you request and if the Garden Hotel Rooms parallel are already booked.


Prices start from £1000 Oct-Mar, then prices start from £4000 Apr-Sept (The Dog House Bar hire will be included)

Please note the Garden closes earlier (10pm) than the Pub & Function Room due to it’s proximity to our hotel rooms

We do not host Children’s Parties or any Birthday Parties under the age of 21, the exception would be a Christening party

We do not allow DJ’s due to previous Noise Complaints.

We will inform you if the music/band is too loud, if any party is asked to lower the volume three times we reserve the right to terminate the party immediately.
